BVT America Policies & Booking Procedures
Call or visit your professional travel agent. They will call us for reservations & will assist you with air transportation. If you need assistance locating a local travel agent, use our travel agent locater.
A deposit of $250 per person is required at the time of booking. If you choose to purchase our Tour Cancellation Protection Plan, the additional cost is also required at the time of booking.
Balance is due to BVT America no later than 60 days prior to departure (or upon booking if you book within 60 days). We reserve the right to retain the deposit and cancel any booking which is not paid in full by the due date
BVT America accepts as method of payment: Travel Agency Checks, Discover, Visa, and MasterCard.
For cancellations of 91 days or more prior to the first day of the tour, you will receive a full refund of all funds received by BVT America less a $79 per person processing fee. 90 to 61 days prior to tour date, a $250 per person fee is charged. 60 to 31 days prior to tour date, 50% of the tour cost is charged. 30 days or less prior to tour date, there is no refund. All cancellations must be faxed in writing to BVT America. In order to protect your investment, we highly recommend purchasing our Tour Cancellation Protection Plan (TCPP) which is outlined in a section found on this page.
BVT America is not responsible for cancellation penalties imposed by airlines or any other transportation carriers. We recommend you consider some form of trip cancellation protection which is available through your travel agent.
In order to protect your tour purchase, we strongly recommend the purchase of our Tour Cancellation Protection Plan. If you have to cancel due to physical personal injury or illness, you can choose to receive a full credit toward a future BVT America tour or a full refund of all funds received.
Personal Injury or Illness: If you have to cancel due to physical personal injury or illness, you can choose to receive a full credit toward a future BVT America tour or a full refund of all funds received by BVT America for written cancellations up to the day the tour begins. Documentation must be provided to BVT America by the attending physician and must specify that the illness or injury prevented the traveler's abilitiy to physically participate in the tour.
Death of Family Member: In the event of the death of an immediate family member, you can choose to receive a full credit toward a future BVT America tour or a full refund of all funds received by BVT America for written cancellations up to the day the tour begins. A death certificate and a statement of relationship with the deceased must be provided to BVT America.
Return Home Due to Emergency: If you must return home due to an emergency, refunds will be whatever net funds BVT America recovers from suppliers.
Other Conditions: Tour Cancellation Protection is valid for purchaser only, must be purchased at the time of deposit, is not transferable, is non-refundable, and only covers the BVT America land tour. Without Tour Cancellation Protection, normal cancellation policies apply.
Arrivals into SGF: Schedule air arrivals as close to noon as possible but prior to 3:00 pm on the first
day of the Branson Tour.
Departures from SGF: Schedule air departures from SGF on the last day of the tour as close as possible to, but not prior to, 11:00 am.
Airport Transfers
First Day: Motorcoach transportation is scheduled to depart from SGF at approximately 3:30 pm. Late arrivals, or those choosing not to wait for the
scheduled transfer, must use transportation at their own expense.
Last Day: Motorcoach transfer is scheduled to arrive at SGF at approximately 9:45 am. Those choosing not to use the scheduled transfer must use transporation at
their own expense.
Arrivals into BKG: Schedule air arrivals as close to noon as possible but prior to 4:00 pm on the first
day of the Branson Tour.
Departures from BKG: Schedule air departures from BKG on the last day of the tour after 10:00 am.
Airport Transfers
First Day: Motorcoach transportation is scheduled to depart from BKG at approximately 4:30 pm. Late arrivals, or those choosing not to wait for the
scheduled transfer, must use transportation at their own expense.
Last Day: Motorcoach transfer is scheduled to arrive at BKG at approximately 11:00 am. Those choosing not to use the scheduled transfer must use transporation at
their own expense.
Arrivals into MCI: Kansas City arrivals are scheduled one day prior to scheduled date of the Branson Tour.
Schedule air arrivals into MCI as early as possible, but NOT AFTER 3:30 pm.
Departures from MCI: Schedule air departures from MCI on the last day of the tour as close as possible to, but not before, 5:00 pm.
Airport Transfers
First Day: Shuttle transfers to your Kansas City hotel will be provided. A BVT America representative will arrive at the airport at 11:00 am, and greet you as you arrive in the
baggage claim area.
Last Day: Motorcoach transfer is scheduled to arrive at MCI at approximately 3:00-3:30 pm.
Arrivals into BNA: Schedule air arrivals as close to noon as possible but prior to 3:00 pm on the first
day of the Pigeon Forge Great Smoky Mountain Tour.
Departures from BNA: Schedule air departures from BNA on the last day of the tour as close as possible to, but not prior to, 3:00 pm.
Arrivals into BNA: Schedule air arrivals as close to noon as possible but prior to 3:00 pm on the first
day of the Nashville Tour.
Departures from BNA: Schedule air departures from BNA on the last day of the tour as close as possible to, but not prior to, 11:00 am.
Arrivals into CHS: Schedule air arrivals as close to noon as possible but prior to 3:00 pm on the first
day of the Savannah / Charleston deep south tour.
Departures from CHS: Schedule air departures from CHS on the last day of the tour as close as possible to, but not prior to, 1:00 pm.
Arrivals into DEN: Schedule air arrivals prior to 3:00 pm on the first
day of the Colorado Vacation Tour.
Departures from DEN: Schedule air departures from DEN on the last day of the tour as close as possible to, but not prior to, 12:00 pm (noon).
Disabilities: Your health is important. Some attractions require some walking. People with physical disabilities must have a traveling assistant who is
fully responsible for the disabled individual if the disability prevents them from being independant. BVT America must be notified prior to the tour of any ADA requirements for
those who are physically challenged.
Dietary Needs: Special dietary preperations of food cannot always be assured. BVT America is subject to the
policies of facilities, accommodations, and available transporation carriers, none of which are owned, or operated by BVT America.
Travelers with Disabilities: Since many of the attractions on the Deep South Low Country Tour of Savannah and Charleston are historic sites that have been preserved in their original form, wheelchair access is extremely limited. In addition travelers taking this tour should be in reasonably good health, as many of the attractions must be visited on foot. Some of the historic locations require substantial walking (possibly on uneven surfaces). There are also a number of locations that required climbing stairs.
Unfortunately, since our BVT America Tour Directors have many travelers to account for, BVT America is not able to provide travelers with special needs any personal assistance in these matters. For a person needing special assistance, BVT America requires that he or she have a traveling assistant who is fully responsible for meeting those needs.
Once your deposit is received by BVT America, your vacation price is guaranteed.
Your friendly and knowledgeable tour guide accompanies you for the entire scheduled tour. Your tour guide is there to help make your vacation a worry-free and pleasant experience!
BVT America uses multiple hotel properties. Rooms are tastefully appointed with In-Room coffee maker, hair dryer, iron & full size ironing board, AM/FM clock radio with alarm, and remote control color tv.
The shows and attractions listed on your selected tour date are the actual attractions scheduled for you to experience. Any additional arrangements that vary from the scheduled itinerary are the responsibility and expense of the traveler. A wide-body, DVD & rest room equipped luxury motorcoach is reserved for each scheduled tour. Seats are not pre-assigned, but are rotated on a regular basis, using different methods as determined by your tour guide. This method affords equal opportunity for each traveler to view scenery from different areas of the motorcoach during the course of the trip. The seat directly behind the driver is reserved for the tour guide. All scheduled surface transporation while on tour is included whether by motorcoach, shuttle, or boat, none of wich are owned or operated by BVT America. BVT America reserves the right to substitute a smaller transportation vehicle in rare situations when it becomes necessary.
The price for your land tour does not include air transportation. Call or visit your professional travel agent. They will call us for reservations and assist you with your air transporation.
Luggage: Hotel luggage handling is included in your tour price.
Meals: Gratuity for dinner is included in your tour price. If you receive extra service you may feel free to individually offer an additional gratuity.
Tour Guide and Driver Gratuity: The traditional end-of-trip gratuity to your tour guide and driver is not included. If you feel your tour guide and/or driver helped you
enjoy your vacation, we suggest you enclose a gratuity in an envelope and present it individually at the end of the tour.
If unforeseen conditions necessitate changes in the planned itinerary, BVT America reserves the right to vary itineraries and substitute the best alternatives available.
BVT America reserves the right not to accept, as well as the right to detain, anyone on tour whose condition or general behavior impedes the operation of the tour or affects the rights of other passengers.
BVT America assumes no liability for refund of unused tour services, attractions, meals, etc. in which travelers choose not to participate.
